Capture better evidence with FIELD
A useful AI draft starts before you open a chat window. Use the FIELD structure for every observation. AI drafts — a competent person reviews, corrects, and signs off.
F — Facts observed
Write what you saw, heard, measured, or were told. Separate direct observation from information reported by others. “Three bags of material were stored inside the marked route” — not “The subcontractor ignores housekeeping.”
I — Identifiable location
Record the level, area, gridline, room, elevation, asset ID, or nearby landmark. “Level 2, east stair landing, beside door E2-14” — not “Near the stairs.”
E — Evidence references
Connect the note to photo numbers, drawing pins, measurements, permits, or records. Example: “Photos 03–04,” “Site plan pin 7,” “Permit PTW-184.”
L — Level and immediacy
Record your preliminary judgment, immediate control taken, and any uncertainty. Do not ask AI to make a competent-person decision for you. “Access restricted pending supervisor review” or “Priority not assigned; route designation needs confirmation.”
D — Direction
Capture the intended control, proposed owner, and verification point. Example: “Remove stored material; site supervisor; verify before shift handover.” Also record positive practice — what is working, not only what needs action.
The two-minute comparison test
Prove the method works before you commit to anything. Use one real, non-sensitive observation from a recent inspection.
Round 1 — Generic prompt
Level 2 east stair. Materials in route. Contractor moving them now. Photo 03. No injury. Need keep clear. Recheck today.
Save the result. You will likely see invented severity, guessed causes, and confident language that goes beyond the evidence.
Round 2 — With the AI skill
Compare the two drafts. The second draft should show what is known, what is inferred, and what still needs checking — not a confident story built from two lines of text.

That sounds decisive — but the note did not establish the route was an emergency exit, that the material was combustible, who was responsible, or that a violation occurred.
Safer method draft
The second draft is not “softer.” It is more defensible because it shows what is known, what is inferred, and what still needs checking.
Privacy and safe AI use
An efficient report is not worth a confidentiality breach. The playbook includes clear boundaries:
Before using an AI service
- • Follow your employer’s and client’s approved-tool rules.
- • Remove faces, badges, plates, signatures, and GPS metadata.
- • Send only what the drafting task needs.
- • Do not upload confidential drawings or incident records without permission.
Do not use this workflow when
- • An incident is under active investigation.
- • Images contain an injured person or medical information.
- • The output would authorise work or make a legally significant decision.
- • A statutory notification or formal declaration is required.
Bottom line: AI may help organise evidence and draft language. It should not silently determine legal compliance, approve work, assign blame, diagnose root cause, or close an action without evidence. If the AI cannot show where a claim came from, treat it as unverified.
